◾ Overview
A Leave Application needs to be entered into a user's timesheet by their manager, after the leave application has been submitted & approved.
If you have an questions relating to leave applications in timesheets; please raise this with your payroll contact; who will aim to assist you.
◾ Access Timesheets via Tempus Platform
1. Login to your Tempus profile at secure.payrollbytempus.com
2. After you login; you will be presented with the Employee Management Dashboard. On the left hand side select Timesheets >> Create Timesheets.
3. This will open up the timesheet page. Select the user's name who you are working on, and the correct date period/range near the top. This will open the user's timesheet for the correct dates.
◾ Add Leave to a Users Timesheets
1. If that user has a leave application that falls in the timesheet date range selected, you will see near the top a box that says 'Approved Leave Requests'. Click on this to expand to see the approved leave requests that match this user & date range.
2. When you click on this, you will be prompted to specify the start and end times of the leave shift. In the example below we have 1.00days of sick leave being requested for the 14/09/2023, and this example user would normally work 9am to 5pm (7.50hrs paid) so we will key in 9am to 5pm
3. Then ensure the paid component of the shift is equivalent to what they would have ordinarily worked/been paid for on that day (e.g. an 8.00hr shift - 30min munch break = 7.50hr paid shift).
4. Fill in other details as required (e.g. location and/or dimension for wage cost coding) and be sure to click save to save your entry.
◾ Add Leave to a Users Timesheets (advanced)
There may be times where a user only needs to take a part day off (e.g. went home sick for the afternoon). Whilst leave is typically expressed in Days (FBAPS leave) or Weeks (Annual Holidays) in the timesheets, you represent all leave requests in Tempus timesheets as hours (just like the rest of their timesheet).
For example, if the same person was to have come into work on the morning of that Thursday, but then leave just after midday to go home sick, you would have the timesheet entries as follows.
Just remember, in the above example the users set work pattern is 7.50hrs for a Thursday. If they are 'excused' from work for 4.00hrs via Sick Leave, they are being excused for 0.5334 of a day (4/7.5=0.5334). Therefore 0.5334 of a day of Sick Leave would be deducted from their Sick Leave balance.
An alternative example could be that the user is taking the afternoon off as planned Annual Holidays.
Just remember that Annual Holidays is calculated by weeks, we reference the users set work pattern 'weekly total hours' instead. If they are 'excused' from work for 4.00hrs via Annual Holidays, they are being excused for 0.5334 of a week (4/37.5=0.1067). Therefore 0.1067 of a week of Annual Holidays would be deducted from their Annual Holidays balance.
