Custom Global Settings
We can adjust how your team interacts with their shifts to help automate your workflow. Just let us know your preferences for:
- Employee Permissions: Control whether staff must accept shifts or if they have the option to decline them.
- Shift Swapping: Enable swapping with specific rules, such as cut-off times (e.g., 24 hours notice) or requiring manager approval.
- Shift Bidding: Allow employees to bid on open shifts with automated closing windows.
Setting Up Roster Warnings (Rules)
Stay ahead of compliance and costs with custom Rule Warnings. Once enabled, a warning icon will appear on any shift that breaks your specific rules.
Common rules we can set up for you include:
Overtime Alerts: Flag when an employee is rostered for too many hours (e.g., over 38 hours/week).
Rest Periods: Ensure staff get enough downtime by flagging breaks shorter than 10 hours between shifts.
Qualification Limits: Restrict total hours based on roles (e.g., capping Trainee hours at 20 per week).
Creating and Using Roster Roles
Roles are simple labels you can add to shifts to help with organisation and filtering.
- In the roster's left-hand filter panel, find the Roles section and click Edit.
- Type the name of a new role (e.g., "Supervisor", "Cashier", "Kitchen") and click Save.
- When you create or edit a shift, you can now select this role from the Role dropdown.
You can then filter your roster to see only shifts with a specific role.
Filtering and Saving Roster Views
The left-hand panel allows you to filter what you see on the roster.
Common Filters:
- Group by: See the roster grouped by Location (default) or by Business.
- Then: Sort the employees by Name, Role, or Start Time.
- Location: Show only one or more specific locations.
- Shift Status: Show All, or only Accepted, Published, or Draft shifts.
To Save Your Filter:
- Set up your preferred filters (e.g., your specific location, sorted by start time).
- At the top of the filter panel, click Manage filters > Save new filter.
- Give it a name (e.g., "My Location View") and check Make this my default filter.
- Click Save. Now, the roster will always load with these settings.
Printing Your Roster
- Set up the roster view you wish to print (e.g., filter for the correct week and location).
- Click Roster actions > Print.
- A new panel will open with print options. You can select the Date Range, Report Format (Day or Week), and what information to include (e.g., breaks, notes, work types).
- Click Print Roster to generate a print-friendly version of your roster.
