Managing Time In Lieu (TIL/TOIL)
Time In Lieu (TIL, sometimes referred to as Time Off In Lieu [TOIL]) is managed in Tempus using Work Types (to bank the time) and Leave Requests linked to Timesheets (to use the time).
1. How to Earn (Accrue/Bank) TIL
To add hours to an employee's TIL balance instead of paying them immediately, record this in the Timesheets.
1. Navigate to Timesheets > Create Timesheets.
2. Select the employee and the date they worked the extra hours.
3. Enter the Start and End times for the extra work.
4. In the Work Type column, select "Time In Lieu Earnt".
5. Click Save, then click Save and Approve, for the timesheet.
Result: The employee will not receive cash payment for these hours. The hours are added to their TIL balance.
2. How to Take (Use) TIL
This is a two-step process. First, the leave is requested/approved, and second, it must be applied to the timesheet to ensure the balance deducts correctly.
Part A: Create the Leave Request
1. Navigate to Leave > Create Requests.
2. Select the Leave Category as "Time In Lieu".
3. Enter the dates and hours the employee is taking off.
4. Submit and Approve the request. You can also place tick the box "Approve Immediately"
Part B: Apply to Timesheet
1. Navigate to Timesheets > Create Timesheets.
2. Select the employee and the pay period covering the leave dates.
3. Look for the "Approved Leave Requests" banner at the top of the timesheet grid.
4. Click the banner to expand it, then click the specific leave request to populate the timesheet lines.
5. Click Save, then Click Save and Approve the timesheet.
Result: The leave flows to the pay run, the employee is paid for the time off, and the TIL balance reduces.
3. Checking Balances
You can view an employee's current TIL balance by running the Leave Balances Report.
Go to Reports > Leave Balances.
This report displays the balance in Hours.
