Overview
This article walks you through the process of using the ProjectWorks to Tempus Timesheet Converter. This tool is designed to quickly and accurately convert your timesheet export from ProjectWorks into a .CSV file that is ready for direct import into Tempus.
Accessing the Tempus Integration Tool
1. In your web browser, go to https://payrollbytempus.link/tempus-projectworks-timesheets
2. Enter your Username (this is your registered email address) and click the ‘Login’ button.
3. The system will send a 6-digit one-time password (OTP) to your email address. The email subject line will be: "Projectworks to Tempus Timesheet Tool | Login Code".
4. Type the 6-digit code into the verification screen and click on ‘Verify’ to confirm your identity.
Uploading Your Projectworks CSV File and Configuring the Conversion Settings
1. Upload your Projectworks .CSV file.
On the main converter page, either drag and drop your Projectworks .CSV file onto the upload zone or click the box to select it from your computer.
Important: The tool will only accept timesheet files exported from Projectworks in the .CSV format. If you try to upload a different file type (like .XLSX or .PDF), it will be rejected.
2. Add the configuration settings (They need to be completed before you can convert the file).
A. Configuration - General:
Default Start Time: The default start time is 8:00 AM. You can click to change this if needed.
Regular Work Type (Optional): You can force ordinary time to be a particular work type, if needed. (e.g. "night hours")
Create Break Method: You can choose to create breaks in the timesheet entries by different methods.
- Auto: Allows you to create breaks automatically after break threshold has been met. You can also configure the duration of this auto-created break.
- Based on Upload: The tool will consider any entry with the word 'Break' on the original file from Projectworks and will consider it on the converted file.
- None: You can tell the tool to ignore break entries from the original file.
B. Configuration - Work Types:
3. If the Projectworks file contains leave entries, the tool will flag it before proceeding. You'll have to map these leave entries to match the Tempus leave types. Once all the leave entries are correctly mapped to the Tempus description of the leave, click on 'Save Work Type Configuration'.
C. Configuration - Break Types:
4. The tool can scan the Projectworks file and detect if there are breaks included in the data. If that occurs, the tool will need you to specify the characteristics of the break and how it needs to be treated.
In this section, all types of 'break' entries will be displayed. You'll have to tell the tool if the entries need to be considered a break or not and if it needs to be considered as an unpaid break.
Finally, you can set custom warnings so the tool will flag any break lasting longer than what's expected.
Click on 'Save Break Type Configuration' before continuing.
5. After configuring these settings, click on ‘Begin Calculation’.
IMPORTANT: The tool will need all the settings to be correctly selected before proceeding. If you're unable to click the 'Calculate' button (button appears greyed out) it is due to missing information.
Previewing and Editing
1. A Preview Table will be displayed. Here, you can visualise and edit the data for all staff members from the original Projectworks file.
The table lists employees in alphabetical order with their timesheet entries in chronological order.
You will be able to check work types, start and end times, as well as their unpaid meal breaks and total paid hours. The data displayed in this table is editable; simply click the specific cell you need to change.
2. If a row of data needs to be excluded from the export, you can uncheck the ‘Include’ checkbox at the left side of the preview table. This also applies to including/excluding/adjusting meal breaks, if needed.
3. On the right-hand side of the preview table you will see an information icon. If you hover your mouse on top, you'll be able to see a detailed version of the source entries and the breaks added.
Generating the Tempus .CSV File
1. After applying all the necessary changes to the preview table, you’ll need to agree to our Privacy Policy.
2. Once done, the “Generate Tempus CSV” button will become active. Click it to download the file.
3. A pop-up window will appear confirming this action. Inside this window you can also find a link to another article on How to import timesheets to your Tempus account - from a 3rd party app.
